1. Signal the end of the recording of a digital dictation by clicking on the Save or EOL key. This opens the Save Menu, where options may be selected using the mouse or the keyboard. If using the keyboard, move to the next field with the [Enter] or [Tab] keys. To save immediately without entering any data, just press Save once more.
2. In the field marked "File" enter the name the dictation is to be saved under e.g. the relevant case/matter number.
If your office has a special name for file reference numbers (e
.g
. Matter or Patient), the "File" field can be renamed in Dictation Manager.
This will also automatically rename the field in the Save Menu.
The "File" drop-down list shows the previous entries, and can be opened by clicking on the down arrow with the mouse.
The key combination [Alt+ down arrow] also opens the dropdown list, or you may use the [up/ down arrow] keys. The Tab key moves to the next field.
File numbers can be scanned in with a barcode-scanner. The Philips 9284 module for Digital Pocket Memo or LFH 6284/5282 are compatible.
3. In the field "Finish by" enter the deadline for the dictation to be typed up. Choose the correct month using the arrow buttons at the top of the dropdown calendar, and then click on a day to select it.
Use [Alt+ down arrow] to open the dropdown calendar. Use the arrow keys within the calendar to select the day, month and year.

4. Assign a priority to the dictation using the Radio Buttons
in the "Priority" field. This will be shown in the "Priority (P
)"
column of Dictation Manager. Normal priority (the default value) has no special symbol.

If a message/dictation is assigned an
Urgent
status via the Radio Buttons, this is indicated in the "Priority" column by the Loudspeaker symbol
. Typists who are using the Player, in, or navigate to, the folder where the urgent dictation has been saved will receive a pop-up message asking if that dictation should be played immediately. Once played, the priority can be changed if required.
If a dictation is already loaded, then the pop-up message will only appear when that dictation is closed.
A dictation can saved as
Blocked
if it is not yet ready to be typed up (e.g. a draft or when the PC must be turned off before you're finished). This status is indicated the "Priority" column by the head symbol . Only the author can load and edit this dictation until he/she decides to unblock it.
5. Comments on the dictation can be stored in the "Remarks" field, shown under the File entry. Maximum length is normally 50 characters. A drop-down list of previously entered or standard remarks is available.
There is an option on the Advanced tab to make the File and Remarks entries compulsory before the dictation is allowed to be saved.
6. To save the dictation in Dictation Manager, click the button
, press EOL, or keep pressing the [Enter] key until that button
is reached.
The dictation will be saved in Dictation Manager, and a local backup copy will also be saved.
Click on the
button to delete ("discard") a dictation.
There is no Backup of discarded dictations
To return to the Recorder from the Save Menu (e.g. when the recording is not finished yet), click the Play/Pause button.
If the custom columns Col 1 and Col 1 have been renamed (e.g. to "Dept." and "Custom2"), then the menu will have the following appearance:
The Batch number function is for users who wish to associate dictations with batch numbers, groups or collective labels. This enables dictations to be selected, printed, sent by e-mail, completed or deleted as a group. A batch process list can be printed to show the status of the work. The number is composed of Author ID, Batch number and sub-item (dictation) number.
Within each Batch, the dictation sub-item number is increased sequentially for each new dictation. When a new Batch is started, a new number is assigned and the sub-item number starts again from 1. The Batch numbers are managed centrally for all users of the dictation directory, and so the next number allocated will depend on other authors who may also be creating batches.
